Vela allows you to upload CSV files to make bulk edits to your existing listings and create new listings where needed. This is a powerful tool for sellers who need to update titles, descriptions, prices, tags, inventory, and more without manually editing each listing.

Step 1: Export a CSV File from Vela (Optional)


To ensure your CSV file has the correct structure, start by exporting a template CSV from Vela.

  1. Go to the Listings page in Vela.

  2. Select the shop you want to export listings from.

  3. Use the sidebar filters or select specific listings.

  4. Click Export and enter your email address.

  5. Check your email for the download link and open the file in Excel, Google Sheets, or Apple Numbers.

Step 2: Format Your CSV File for Upload


Key Fields in the CSV File:

  • Listing ID – Unique ID assigned by Etsy or Shopify.

    • For updating existing listings, keep this ID unchanged.

    • For new listings, leave this blank.

  • Title, Description, Price, Tags, and Inventory – These fields hold the main product details.

  • Category, Variations, and Media URLs – Ensure these fields are formatted correctly before importing.

  • Images & Video Links – Use direct links from file hosting services, such as Imgur, Cloudinary, or PostImages.

Note: Your image or video link must be a direct URL to the file online that includes the file extension (e.g., https://i.imgur.com/igr6pSp.png).

Updating Existing Listings

  • Make changes only to the fields that need updating while keeping the Listing ID unchanged.

  • If the Listing ID matches an existing listing, the CSV upload will update the existing listing instead of creating a new one.

Creating New Listings

  • Leave the Listing ID blank to create new listings.

  • Ensure required fields like title, description, price, and inventory are included.

  • Missing attributes will be highlighted in red in Vela after import.

Step 3: Import Your CSV File into Vela


  1. Go to the Listings page in Vela.

  2. Click the Import button in the top-right corner.

  3. Select the CSV file you want to upload.

  4. The Mapping Wizard will appear:

    • This tool aligns your CSV file’s column headers with Vela’s attributes.

    • If using the Vela CSV template, fields will map automatically.

    • If using a CSV from another source, manually assign each column to the correct attribute.

  5. Once mapping is complete, click Import Listings.

Step 4: Review & Publish Listings


  • Imported listings will appear in the Imported section of Vela.

  • Listings are categorized as:

    • Complete – Ready to publish.

    • Incomplete – Missing required fields (marked in red).

  • Use bulk editing to fix any missing information before publishing.

  • Once ready, click Publish to apply changes to Etsy or Shopify.

Q: Can I bulk update my Etsy and Shopify listings at the same time?

A: Yes. A single CSV file can be used to update or create listings across multiple connected shops.

Can I create new listings with a CSV file?

A: Yes. If a listing does not have a Listing ID, Vela will treat it as a new listing. However, you must ensure all required fields are correctly filled before publishing.

Q: What happens if my CSV file has errors?

A: Vela will highlight missing or incorrect attributes in red. Fix these issues before publishing.

Q: Can I use my own CSV file format?

Troubleshooting


Issue: My changes didn’t apply after importing.

Solution: Double-check the Listing ID—if it’s missing or incorrect, updates won’t apply.

Issue: My images or videos aren’t showing.

Solution: Ensure media links are direct download links (not web previews).

My imported listings have errors.

Solution: Check the red-highlighted fields in Vela and update missing attributes before publishing.
